Business Area Mobile Equipment is looking for an Administrator. The position is based in Rotterdam, the Netherlands

Job description

As Administrator, you are responsible to provide timely and effective administrative support to sales or service teams, units or departments. This is a pivot role requiring the candidate to liaise with various teams inside the company to be able to correctly finalize the tasks at hand. The position is based in Rotterdam, the Netherlands.

Key accountabilities

  • Ensure that the necessary paperwork is obtained in a timely manner, accurately completed and retained for future reference
  • Process sales orders, purchase orders and invoices so that customer orders are dispatched, invoiced and paid accurately and on time
  • Liaise with Credit Control team to establish credit terms for new customers and in setting up new accounts on the ERP system
  • Communicate with other teams in the organization, such as service, production, warehouse, transport and distribution to confirm the status of orders and resolve customer disputes
  • Use computerized systems to maintain up-to-date customer records; to track the status of orders and deliveries; to maintain sales commission records;  and to generate sales reports and statistics
  • Ensure that any legal obligations are met with regards to registrations,  for example engines, government statistics, warranty
  • Adherence to process and operating procedures
  • Provide assistance with warranty administration during less busy periods
  • Observe all safety procedures and instructions and assist in maintaining a safe workplace by reporting any accidents, hazards, near misses, defects or damages to plant and equipment to the appropriate person

 

Education/experience

  • 5-10 years of experience with administration related tasks
  • Completed education on MBO- level
  • Experience of working within a service engineering environment
  • Experience of using SAP

Competencies

  • Strong communication skills, verbally and written
  • Strong administration skills
  • Customer focused outlook
  • Ability to work in a pressurised, technical environment
  • Ability to multitask ensuring accuracy is maintained
  • Excellent IT literacy (Google sheets, Excel, KIS, Salesforce), numeracy and analytical skills
  • Knowledge of Kalmar products and services is preferable
  • Fluent in Dutch and English

  • Personable/ Team player – able and willing to reach out to others and connect teams
  • Tenacious – a determination to get the job done with a “right first time” attitude
