Administrative Assistant

Kalmar USA, Inc. is seeking an Administrative Assistant to provide administrative support to our Services division.  This role will be based in Portsmouth, VA and reports to the Assistant Controller. 

Main tasks and responsibilities

  • Assist Manager with administrative and reporting aspects for service jobs and projects
  • AP/AR processing utilizing SAP and Basware
  • Process timesheets for payroll
  • Process shipping documents for outbound freight and receive inbound freight
  • Coordinate travel arrangements for service technicians

We expect from you

  • H. S. Diploma, G.E.D. equivalent required. 
  • Prefer candidate to have SAP experience
  • Excellent verbal and written communication skills
  • Ability to work independently as well as within a team environment
  • Be highly organized and detailed oriented. Be able to effectively manage multiple tasks. 
  • Demonstrate strong work ethic and initiative in order to meet deadlines
  • Ideal candidate will bring experience from a similar heavy industrial equipment service industry or experience supporting service/maintenance technicians with time reporting, project cost allocation and invoicing
