Service Administrator

Purpose of the position

The purpose of the job is to provide administrative support of the daily site service operation.

Main tasks and responsibilities

What you will be doing:

Preventive Maintenance (PM) Scheduling

  • Co-Ordinate and ensure all PM services are carried within the prescribed hours.
  • Schedule technicians as efficiently as possible to perform the PM servicing and any ad hoc breakdown or corrective maintenance that arises.
  • PM scheduling must be communicated & planned with the customer two weeks prior to the job.
  • Enter relevant data into SAP.

Customer Damage Reporting

  • Document all repairs and damages reported on each machine.
  • Invoice customer for all parts & service hours.
  • Ensure all data is accurately entered into SAP.

Management of Back Up Machines

  • Record/capture all backup usage.
  • Invoice of all back up machine usage.
  • Ensure all back up machines are serviced as per the requirement.

Parts Usage

  • Coordinate all parts orders and deliveries

Policies and Procedures

  • Assist the HR department in reviewing, developing and implementing processes and improvements relating to the parts department.

Parts Interpreter duties and General Administration Support Activities including but not limited to:

  • Required to process parts orders from customers
  • When required provide assistance to customers who are trying to locate the right part number for a Kalmar machine
  • Create invoicing for equipment, parts sales and service orders
  • Utilise local suppliers for delivery and assembly of machines as well as purchase some consumable type of items

  • Perform other tasks as directed by your direct supervisor

Skills and experience

  • Industry experience preferred 
  • Intermediate to advanced level in – Excel, Word, PowerPoint
  • Excellent vendor relationship building skills
  • Strong analytical and numeracy skills
  • Sound communication skills (written and verbal)
  • Excellent interpersonal skills (ability to deal with all stakeholders in the business)
  • Excellent project/time management skills, and can work steadily with multiple deadlines
  • SAP experience would be highly regarded

Salary for the role is negotiable depending on experience. This is a great opportunity to join a global market leader. You must have the applicable rights to work in New Zealand to be considered.
