Purpose of the position



At Kalmar, smooth processes and systems are the key to our success. We’re looking for an office manager who has excellent organizational skills and a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines as well as unexpected events.

The office manager will provide strong, reliable support for our operations by optimizing the internal processes. This person will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment

Main tasks and responsibilities



  • Oversee visitors to the office and ensure a friendly, personal experience
  • Ensure peak operations for the organization and implement preventive measures for potential issues
  • Coordinate internal and external resources, and cultivate relationships with vendors
  • Participatе in site projects, working closely with the department responsible
  • Respond to requests and questions about office operations
  • Work with HR to enforce office policies if needed
  • Assist various departments administrative work
  • Social media support
  • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment
  • Oversee day-to-day office activities as main point of contact
  • Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; and updating contacts database and employee lists
  • Manage vendor relationships, and coordinate food deliveries when requested
  • Manage office supplies inventory by ordering and issuing items.

What you’ll need to succeed




  • Two or more years of experience in office management is an advantage
  • Experience in developing internal systems




  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
  • Proficiency with office applications, and aptitude for learning new software and systems
  • Ability to maintain confidentiality of company information
  • Good English language proficiency
  • Very good Dutch language proficiency
  • Advanced computer skills and experience with online platforms.
