Order Coordinator

 We Hiab, are looking for a  Order Coordinator  responsible for coordinating Customer Service Centers and Importers orders, handling related issues, and ensuring effective communication with all stakeholders.

Main tasks and responsibilities

• Process customers' orders in ProSales and OMS, ensuring alignment with the production Capacity Framework (slot plan),
• Request adjustments to Capacity Framework based on order intake trends and lead times,
• Verify order completeness, ensuring that all necessary details are provided by customer before processing,
• Transfer orders to LN and validate successful receipt in the system ,
• Resolve order transfer issues, including resending orders to LN in case of configurator errors or missing items ,
• Provide customer support, responding to inquiries regarding order status, delays, and general order-related questions ,
• Coordinate with the PSC (Product Supply Center) by requesting and relaying information to address specific customer requests,
• Manage order change requests, ensuring timely updates and communication with relevant stakeholders,
• Handle special or urgent shipping requests, including changes to delivery addresses. If the order has already been completed ,forward the request to the PSC shipping department,
• Coordinate B-orders with Product Manager, R&D, Production Engineering, Quality, Sourcing and Shipping. Participate in B-order meetings and provide feedback in the process (internally to B-order process attendees and externally to customers),
• Generate general lead time report for PSC and answer specific lead time questions,
• Prepare and issue weekly order status report for PSC based on order level report provided by PSC ,
• Monitor and report order intake to support business decision-making.
• Manage order-related exceptions, including:
  • Identifying and informing relevant teams about new models, options, and items.
  • Escalating issues and errors related to configurator setup/rules. 
  • Addressing invoicing-related questions from the finance team, 
  • Prioritize and communicate urgent orders, keeping logistics and production teams informed about critical priorities

• Experience in logistics and production

• Using the MS Office suite
• Using the Google tools - well seen,
• Strong Customer focus and understanding,
• Knowledge of order processing workflows in a production environment
• Ability to work in a structured and efficient manner 
• Ability to work according to instructions and processes
• Excellent organizational skills
• Self-discipline and strong teamwork skills (essential)
