We are seeking an experienced HR Specialist with a solid background in HR operations to join our dynamic team of professionals. This is an exciting opportunity to contribute to a collaborative and high-performing environment.
The purpose of this position is to provide seamless, efficient, and expert HR operational support to internal and external stakeholders, ensuring alignment with global processes, standards, and country-specific requirements. The role involves managing HR inquiries, maintaining accurate employee data, supporting payroll and time management activities. Additionally, the position drives continuous improvement in HR services, fosters process excellence, and ensures compliance with internal guidelines and external regulations.
Main tasks and responsibilities
HR Data Administration Services Support
- Provide seamless HR operational support to both internal and external stakeholders, ensuring alignment with the Global Process Map and Responsibility Matrix.
- Efficiently handle employee inquiries and resolve issues promptly, utilizing company channels such as chat and case management tools to ensure timely, professional responses.
- Leverage deep knowledge of country-specific and global HR processes and policies to offer expert solutions to customer queries.
- Maintain and update organizational and employee data in both global and local HRIS, ensuring the highest level of accuracy and timeliness.
- Execute payroll and post-payroll activities, along with Time and Attendance tasks, in strict adherence to the Country Responsibility Matrix: collecting payroll input, communicating with stakeholders, performing payroll checks, and ensuring follow-ups.
- Prepare employment documentation, ensuring accuracy and compliance, in line with the Country Responsibility Matrix.
- Adopt a customer-centric approach, consistently delivering HR services within agreed SLAs, KPIs, controls, and procedures.
- Drive process improvement initiatives, actively identifying and suggesting ways to simplify, update, and enhance processes, technologies, and procedures, working with relevant process owners to implement changes.
- Lead or participate in HR projects, coordinating efforts and ensuring successful project delivery.
HR Services Collaboration & Process Excellence (Subject Matter Expert)
- Serve as a “gatekeeper” in harmonizing HR processes, promoting best practices, and ensuring the consistent application of standardized processes across global operations.
- Provide expert advice and consultation on inquiries and solutions, contributing to the global support model and driving continuous improvement.
- Contribute to the creation of training materials, guidelines, and work instructions for your area of responsibility, ensuring they are standardized and applicable globally.
- Deliver training to end-users and offer ad-hoc support, ensuring seamless knowledge transfer and user adoption across regions.
- Actively engage in HR forums and discussions, to stay informed and connected with the HR community.
- Collaborate with the Process team to drive continuous improvement and automation in HR processes, enhancing efficiency and productivity.
- Raise the quality of HR processes, ensuring a high level of service excellence and maintaining consistent, top-tier support for global operations.
What you’ll need to succeed
- Bachelor’s degree in Business Administration, Human Resources, or a related field.
- 3-5 years of proven experience in a similar role, demonstrating a strong track record of success.
- Proven expertise in handling simple to complex queries with efficiency and professionalism.
- Exceptional customer service orientation and interpersonal skills, with the ability to build strong relationships.
- Outstanding organizational abilities, capable of effectively prioritizing tasks in a fast-paced environment.
- In-depth knowledge of core HR processes, ensuring the effective execution of HR-related tasks.
- Hands-on experience with HRIS, Google Suite, and other Time & Attendance (T&A) or HR-related systems and tools.
- Strong communication skills to manage stakeholder relationships and effectively convey information.
- Advanced presentation skills, enabling clear and impactful communication to diverse audiences.
- Full professional proficiency in both written and spoken English.
- Adaptability in working across various cultures and organizational structures, both within and outside of HR.
- Positive, collaborative attitude, fostering strong relationships with colleagues, stakeholders, and clients.
