Order Coordinator

HIAB is looking for an Order Coordinator to handle order processing and customer support for our Customer Service Centers and Importers. The Order Coordinator will be responsible for order configuration and validation, production planning, and liaising between CSC units, Importers, and sales/division representatives.

The position will be based in Raiso, Finland. 

Main tasks and responsibilities

• Validate order completeness and accuracy prior to processing.
• Transfer orders to LN and confirm successful system receipt.
• Troubleshoot order transfer issues, including resending orders to LN due to configurator errors or missing items.
• Provide customer support by addressing inquiries regarding order status, delays, and general order-related concerns.
• Manage and implement order change requests, maintaining timely communication with stakeholders.
• Accommodate special or urgent shipping requests, such as changes to delivery addresses.
• Perform daily updates to order intake within LN/ERP.
• Maintain and update the general lead time report for PSC and respond to specific lead time inquiries.
• Manage order-related exceptions, such as:
  • Identifying and notifying relevant teams about new models, options, and items.
  • Escalating issues and errors related to configurator setup/rules.
  • Addressing invoicing-related questions from the finance team.
• Assist customers with commercial inquiries, including quotations and delivery forecasts.
• Generate B-order quotations to support the Area Manager or Product Manager as needed.
• Offer support to team functions during periods of low staffing.
• Ensure compliance with standard procedures to maintain a smooth order flow and deliver high-quality customer service. 
   

What you’ll need to succeed

• Bachelor's degree in a relevant field is preferred, but not required.
• Proven experience in a customer service role, demonstrating strong communication and problem-solving skills.
• Experience working in a global or multinational company, showcasing adaptability to diverse cultures and business practices.
• Prior experience in logistics is a plus.
• Excellent verbal and written communication skills in English
• Proficiency in using Microsoft Office Suite and Google Suite 
• A strong sense of motivation and the ability to thrive in a fast-paced, deadline-driven environment.
• Demonstrated ability to meet and exceed Key Performance Indicators (KPIs).
• Meticulous attention to detail and a commitment to following established procedures and guidelines.
• Excellent organizational and time management skills.
