Sales Coordinator

Purpose of the position

Sales support team is one of the teams in CX Centre which role is to support markets in order handling and invoicing, and to identify & implement process improvements. 

Sales support team in Gdansk currently supports 3 markets: Germany, UK and Netherlands. The main responsibilities of the team are handling new equipment orders and invoicing customers for delivered equipment. Order handling consists of placing new orders to the factory, processing change requests and purchasing items from our suppliers. All the work is done in close cooperation with sales representatives, customers, vendors, finance, factories and logistics. Different IT systems, such as configuration tools, order management system and SAP, are in use to deliver the results. Important aspect of the team’s work is to provide great customer experience for our internal and external customers, and continuously aim to improve customer experience & satisfaction.

Main tasks and responsibilities

  • Executing sales support process: Placing orders, cooperating with sales representatives and factories to complete change requests, supporting in case of issues, and processing invoicing 
  • Working in close cooperation & continuously communicating with sales representatives, customers, vendors and other internal stakeholders to execute sales operations smoothly and to provide timely solutions & replies
  • Identifying process improvement opportunities and supporting in implementing those
  • Provide good customer service for internal and external customers, and finding ways to improve the experience

What you’ll need to succeed

  • Good communication skills and ability to communicate with different stakeholders
  • fluency in English  
  • communicative command of German (B1 level) 
  • high attention to detail
  • affinity with database quality – SAP system
  • ability to work independently, organise work accordingly 
  • relevant job experience

Hiab CX Centre in Gdansk operates as a shared service centre for our frontline units and customers across countries. The role of the service centre is to ensure great customer experience, work with Hiab’s frontlines and other stakeholders to smoothly execute the operations from order handling to services.
