Senior Travel Specialist

Purpose of the position

•    Reconcile Travel Expenses for compliance to corporate policy and legal requirements.
•    Maintain Credit Card program: issuing new cards, establishing and adjusting credit limits, handling lost/stolen cards, and closing cards upon terminations.
•    Work with travel vendors to assure Cargotec needs are managed and best practices are identified for all of Americas Region.
•    Senior Travel Specialist follows Cargotec practices and policies, while promoting process-driven ways of working. 
•    Senior Travel Specialist is the CBS subject matter expert in the US Travel and Expense area, both in the daily recurring service operations and global separate assignments.

Main responsibilities

•    Review employee expense reports using Concur to ensure adherence to US tax compliance and the Cargotec global travel policies for the JP Morgan (JPMC) credit card travel program. 
•    Monitor non-compliance and escalate as needed, while holding all business units accountable for the same culture of compliance.
•    Work closely with Payroll to maintain a confidential log of employees with taxable reimbursements per IRS federal tax guidelines.
•    Review cardholder requests for credit limit increases, and if within the parameters, raise the limit in JPMC PaymentNet. Record limit increases in a confidential log of employees, including detail surrounding request and the expiration date for temporary increases.
•    Work closely with HR personnel in regards to employee changes, including new hires, terminations, and transfers, as it pertains to the Travel and Expense department.
•    Work closely with HR and IT managers regarding certain expenses placed on the JPMC credit card, i.e. relocation expenses, drug screens, IT equipment/devices, etc.
•    Download weekly Concur data extracts and provide to members of the RTR team for preparation and posting of the weekly journal entries.
•    Prepare weekly reports of expenses that need to be applied to specific service orders and distribute to appropriate personnel for application.
•    Prepare monthly reports provided to the HR Director and certain managers, regarding the volume of expenses in the previous month.
•    Prepare ad hoc reports requested by management, i.e. for budget forecasting and/or employee headcount.
•    Train and support colleagues in submitting their expense reports, explaining the travel policy, and/or the JPMC travel credit card.
•    Manage Concur configuration, including setting up and closing employee profiles, as well as updating the general ledger mappings to ensure proper accounting postings.
•    Troubleshoot issues with Concur (OBT-Online Booking Tool), CWT (TMC-Travel Management Company), & JP Morgan Chase (JPMC-Credit Card provider).
•    Meet regularly with external travel vendors to ensure Cargotec needs are met, while ensuring that the daily operations are meeting the defined contract goals.
•    Develop best practices within the US in support of the globalization of Travel Services and communicate updates to travelers as needed.
•    Support Solution Owners and Process Owners in continuous improvement and implementation of programs, policies, and procedures of the CBS.
•    Identify process improvements: Suggest methods to update, simplify, and enhance processes, procedures and technologies.

What you’ll need to succeed:

•    Minimum BA degree in finance or business or a minimum 4 years of relevant business experience, including financial accounting skills.
•    Experience in operational travel management competencies.
•    Hands-on experience working with SAP/Cloud system preferred.
•    Experience in Google G-Suite (Gmail, Sheets, Docs, Slides) and Microsoft Office (Excel, Word, PowerPoint).
