Shipping Specialist

Purpose of the position

As Shipping Specialist your job is to book and manage Bromma spare parts shipments from our warehouse in Singapore to our customers worldwide as well as from our spare parts suppliers in APAC, Europe and the United States to our warehouse in Singapore. You will collaborate with Sales, Purchasing, our external Warehouse Service Provider in Singapore and with the different forwarders for ensuring fast, accurate and customs compliant spare parts deliveries while controlling the freight costs. You will coordinate for shipping documents including various certificates. You will resolve issues with warehouse, transports and customs and continuously look for possibilities for process improvement. You will review freight invoices and ensure correct freight billing from customer. 


Transportation Management

  • Select forwarder/transporter based on choices defined by Sourcing. If there is no default transporter with rate card available, ask transport quotations.
  • Maintain transport mode / transporter recommendations to Sales and Purchasing
  • Book transports or oversee the transport bookings done by the external Warehouse transport clerk.
  • Monitor delivery performance of transporters/forwarders.
  • Review transport invoices.
  • Raise transport claims for lost or damaged shipments.

Global Trade Compliance

  • Ensure that spare part shipments from/to Singapore warehouse (WH) follow the Singapore customs rules and the general rules of international trade.
  • Provide international trade rule expertise and recommendations to spare parts Sales and Purchasing

Warehouse Management

  • Act as first point of contact to Singapore WH external service provider
  • Oversee that Singapore WH external service provider delivers warehouse services according to the contractual commitment. Report any problems to Shipping & WH Specialist Leader in Ipoh office.
  • Facilitate communication between Singapore WH external service provider and Sales/Purchasing
  • Ensure the availability of packaging material at Singapore WH

Logistics Systems

  • SAP: user (logistics transactions)
  • Transport Management System “Shipment Manager” (provided by Unifaun/nShift): key user
  • JIRA Service Management ticketing system: agent level user


  • Will participate as Singapore WH/Outbound process key user in the Oracle Transport Management (OTM) project in 2022

What you’ll need to succeed:


  • Degree or Diploma in Logistics Management or equivalent


  • Preferably 1-3 years of logistics related work experience


  • Proficiency in MS Office and/or Google Workspace
  • Knowledge of Incoterms and other common rules of international trade


  • Team player
  • Able to work independently
  • Good written and oral communication skills
  • Drive for continuous improvement


  • Good written and spoken English
  • Mandarin is an advantage


  • Internal: Sales, Purchasing, Inventory, Order Desk, Finance, QEHS, Transport Sourcing
  • External: Singapore external warehouse service provider (DSV) and various forwarding agents/transporters
